Every certified communication in Namirial Notify generates evidence, including recorded events, content, and affidavits. This page explains how that evidence is stored, how long it remains accessible, and what options exist for extended preservation.
Online archiving is the default storage model. When a transaction completes, Namirial Notify keeps the evidence on the platform for a configured period called the retention period. During this period you can typically:
- view the transaction history and events
- download the original content and attachments
- download the generated affidavit PDFs
- share evidence links with other authorised parties, subject to the configured custody access control method
The retention period is measured in years, with a default of 1 year for new customers. The configurable range depends on service and deployment settings. It is set per transaction, typically in the Advanced section when the issuer creates the communication. The configured retention period can affect billing.
The retention period appears in the transaction details as Online custody years and End of online custody. Check these fields to confirm how long evidence for a specific transaction will remain accessible.
If you cannot find a transaction, the retention period may have expired or you may be signed in with a different account. Confirm you are using the correct credentials, or contact your operational admin to verify the retention settings.
Long-term archiving (LTA) extends evidence preservation beyond the standard online retention period. When the online period ends and LTA is enabled, evidence is moved to Namirial Archive — an offline storage system designed for extended custody. Evidence remains available through configured retrieval channels, depending on deployment and access settings.
LTA is available across all services but must be enabled for your organisation. When available, the issuer can activate it per transaction in the Advanced settings — for example, under Custody when creating an EviNotice.
Notarial deposit is an optional feature that places evidence with a notary for an additional retention period. It is currently available only in Spain. For more information, contact your sales representative.
Custody access control determines who can view evidence through a shared link. The issuer selects the access method when creating the transaction. Available methods can include:
- Anyone with the link — no additional verification is required.
- Related users — only the issuer and recipients involved in the transaction can access it.
- Challenge question — the person accessing the link must answer a question defined by the issuer.
- Known data — the person must provide recipient data known to the issuer, such as an identification number.
If a recipient clicks an evidence link and sees an access verification screen, the issuer configured a custody access method that requires additional data. The recipient should follow the on-screen instructions or contact the issuer for the required information.
Namirial Notify services can support online archiving with a configurable retention period and custody access control. The core behaviour is generally the same:
- The issuer sets the retention period and custody access control when creating the transaction.
- Namirial Notify stores the evidence for the configured period.
- During that period, authorised users can view and download evidence through the platform or through evidence links.
Differences between services mainly affect which advanced options are available:

During the evidence lifecycle, the transaction history may show events related to archiving, such as:
- Archived — the evidence was moved into archival storage.
- Files migrated — the evidence files were migrated to long-term storage.
These events appear in the History of events section of the transaction details view.
Once a process closes, recipients can access the evidence and download available affidavits through the link in the original notification email. This access is independent of the issuer's view — the recipient sees the same certified evidence details but through a public-facing flow.
- Open the notification or final confirmation email you received.
- Click the View evidence or equivalent button or link.
- If the issuer configured an access challenge, you will see a verification screen asking you to answer a question. The question and expected answer are set by the issuer — contact the issuer if you do not know the answer.
- Once access is granted, you reach the Certified Document details screen, which shows all recorded process information.
- At the bottom of the screen you can download the notification content, attachments, and the generated affidavits.
If you have a Namirial Notify account registered with the same email address that was used as your recipient address, you can also find the evidence through the portal:
- Sign in to the Namirial Notify portal.
- Open the relevant My Evi* area for your service from the top menu.
- Click the filter button and select Signer as your role and Closed as the status.
- Locate the evidence in the list and select Details from the row menu.
- Use the tabs in the details view to access content, process details, and affidavit downloads.
Registration is free. You must use the same email address that was used for the signing or notification to see the related evidences.
Note: This recipient-side flow is separate from the issuer's transaction details view. Issuers see all transactions they created; recipients see only those where they were a participant.
From the transaction details view, the following download options are typically available:
- Download content — the original content that was sent or presented
- Download attachments — the original attachments, if the transaction included any
- Download Affidavit — the available affidavit PDF or PDFs
- Download all (zip) — a ZIP archive containing content, attachments, and affidavits
- All affidavits (zip) — a ZIP archive containing all affidavits for the transaction
If the Download Affidavit option is not available, the transaction may still be in progress, or the configured affidavit profile does not generate affidavits for the current phase. Check the transaction status and, if it is already closed, review the affidavit configuration with your admin.
