The User Groups section allows administrators to create, view, and manage groups of users within the organization.

Purpose

User groups can be defined to configure permissions on sharing envelopes and templates within group members.

The User Groups list page provides an overview of all user groups defined in the organization and allows administrators to:

  • Create new user groups

  • View existing user groups

  • Access user group details

  • Delete user groups

Actions

By clicking the "Add new user group" button you start the flow to create a new user group.

  1. Opens the flow to create a new user group.

  2. When a new user group is added, it becomes available for:

    • Assigning users

    • Defining permissions

    • Managing shared contacts

Available actions for each user group

  • Detail
    • Opens the user group details page.
  • Delete
    • Removes the user group from the organization.

User Group Details Page

The User Group Details page allows administrators to manage:

  • Users assigned to the group

  • Permissions granted through the group

  • Shared contact lists

  • Contact Form Builder

  • Group name

This page is accessed by clicking Detail on a user group.

User group details

  • Group name
    • Displays the currently selected group.

The page is divided into three tabs:

  • User Permissions

  • Shared Contact List

  • Contact Form Builder

Available actions:

  • Add users
    • Add new users to the group
      • Enter the email address or the name of the user who needs to be added
  • Edit permission for each user
  • Remove a user from the group

User permission

The user permissions are used to grant or block permissions referring the following:

  • Users View
    • User can view user group members
  • Users Edit
    • User can add, edit and remove user group members
  • Envelopes manage
    • User can manage envelopes shared with the user group
      • Manage includes the following:
        • Perform main actions on the envelope (remind, delete, cancel etc.)
        • Access the envelope details including the download of the JSON as well as viewing the history of the envelope if the permissions are enabled
  • Envelopes share
    • User can share envelopes with user group members
  • Templates manage
    • User can manage templates shared with the user group
      • Manage includes the following:
        • Perform main actions on the template (delete)
  • Templates share
    • User can share templates with user group members
  • Contacts view
    • User can view contacts shared with the user group
  • Contacts edit
    • User can add, edit and remove contacts shared with the user group
  • Contacts customize
    • User can customize the fields of the user group contacts

For the selected user choose which permissions should be granted. It is possible to select all at once.

Shared contact list

Contacts are displayed within this list which are shared with the group.

Add contacts in this section in order to share those contact within the user group.

Contact Form Builder

Define contact details mask here and add custom fields.
