How to create a new EviNotice

This guide explains how issuers create and send an EviNotice from Namirial Notify. EviNotice sends a notification through the configured channel while hosting the certified content on Namirial Notify, where recipient access and actions can be recorded as evidence.

Available fields and delivery channels can vary slightly by tenant, enabled features, and permissions. This guide follows the tab structure shown in the current EviNotice screenshots: Content, Configuration, Advanced, and Preview.


Prerequisites

  • You are signed in as an issuer.
  • You know the recipient email address, mobile number, or both.
  • You have the subject, message content, and any files you want to attach.
  • If your workflow uses reminders, templates, custody settings, or callback URLs, you have that data ready.
  • If you want to reuse saved recipients, your contact list is available in Contacts.

Open a new EviNotice

  1. Sign in to Namirial Notify.
  2. Select New EviNotice in the issuer area.
  3. Open the EviNotice form.

Complete the Content tab

  1. Open Content.
  2. Add one or more recipients in Recipients > Destination.
  3. Use the contact-picker icon if you want to select recipients from Contacts.
  4. Select the sender in From email address.
  5. Decide whether to enable Do not send the Sender header in notification emails.
  6. Enter Reply-To email header if replies should go to a specific mailbox.
  7. Review the values shown in Sender's email and Issuer (phone).
  8. Enter the issuer text in Legal identification of the issuer (company name, identity document, full name...).
  9. Enter the Subject.
  10. Enter the message body in the editor.
  11. Add any files you want to attach in Attachments.

Key fields in this section:

  • Recipients > Destination is where recipients are added. The icon next to the field can open saved contacts.
  • From email address selects the sender used in notification messages.
  • Reply-To email header routes replies to a specific mailbox when needed.
  • Sender's email, Issuer (phone), and the issuer legal-identification field define the issuer information shown in the workflow.
  • Subject and the message editor define the content associated with the hosted notice.
  • Attachments adds supporting files to the notice.
  • For QERDS certification levels, each recipient entry includes additional identification fields: a toggle to require the recipient's legal ID, a document type selector, and an optional document number field. If you enter a document number you must also select the document type. Leave the document number blank if you want the recipient to enter and confirm their own.

If you enable Do not send the Sender header in notification emails, the notification email header behavior changes. Use that option only when it matches your delivery setup.


Complete the Configuration tab

  1. Open Configuration.
  2. Set Tracking until.
  3. Select the Appearance.
  4. Select the Certification and security level.
  5. Select the Affidavit Language.
  6. Review the selected Affidavits.
  7. Configure Agreement possibilities.
  8. Decide whether to enable Allow notification refusal.
  9. Decide whether to enable Allow comments.
  10. Enter Reasons for acceptance if your process uses them.
  11. Enter Reasons for rejection if your process uses them.
  12. Decide whether to enable Reason for acceptance required.
  13. Decide whether to enable Reason for rejection required.
  14. Select the Notification language.

Key fields in this section:

  • Tracking until defines how long the notice remains tracked.
  • Appearance controls the presentation mode used for the notice. The screenshot shows Certified.
  • Certification and security level and Affidavit Language affect how evidence is certified. When you select a QERDS certification level, three additional fields appear:
    • Allow enrollment — lets recipients who are not yet registered with the identity provider complete registration from within the notice. Requires a QERDS profile to be selected.
    • QERDS profile — selects the identity provider profile used for this notice. The available options are configured at the site level. If no profiles appear, your site has not been set up for QERDS — contact your administrator.
    • Identity database — selects the identity tenant for this certification level. Only visible when multiple tenants are configured for your site.
  • Affidavits are selected through the cards shown in the UI, and the default set can vary according to the selected certification level.
  • Agreement possibilities defines whether recipients can accept, reject, or do both.
  • Allow notification refusal lets the recipient refuse the notice before opening the content.
  • Reasons for acceptance, Reasons for rejection, and the related required toggles shape the information recipients can or must provide.
  • Notification language controls the language used in recipient-facing notifications.

Complete the Advanced tab

  1. Open Advanced.
  2. Configure Waiting time for reminder to be sent.
  3. Configure Repeat every.
  4. Select the reminder days you want to use.
  5. Select the allowed Time range.
  6. Select the Time zone.
  7. Set Ends on and Maximum number of repetitions.
  8. Select the Cost Centre.
  9. Select the Email notification template if your tenant uses templates.
  10. Enter or review the SMS notification template text if that field is available in your environment.
  11. Set the Retention period.
  12. Select the Custody access control method.
  13. Enable Notarial deposit and select the Notary profile if this feature is available for your tenant and territory.
  14. Decide whether to enable LTA Custody.
  15. Enter Additional information to be included in the notification web page if needed.
  16. Enter the Url for event notification if your process uses callbacks.
  17. Decide whether to enable Show filters for event notification.

Key fields in this section:

  • Reminder settings control when follow-up notifications are sent.
  • Cost Centre supports internal allocation when your organization uses it.
  • Email notification template and SMS notification template are tenant-specific message-template fields.
  • Retention period, Custody access control, Notarial deposit, and LTA Custody affect evidence preservation and access.
  • The informative-text field adds text to the hosted notification web page.
  • Url for event notification is the endpoint that receives automatic status updates when lifecycle events occur.
  • Show filters for event notification can expose additional callback filtering options in environments that support them.

Preview and send

  1. Open the preview section.
  2. Review the recipients, sender and issuer data, message content, attachments, and tab settings.
  3. Confirm that the reminder, agreement, custody, and notification-language settings are correct.
  4. Click Send.

Expected result

Namirial Notify creates the EviNotice and starts tracking it according to the selected configuration. The transaction then appears in the issuer area, where you can monitor its status and retrieve the available evidence and affidavits.


Troubleshooting

A recipient cannot be added

Problem: The recipient list remains incomplete or the destination value is not accepted.

Cause: The destination may be missing, invalid, or not formatted as required for the selected channel.

Solution:

  1. Confirm that a value was entered in Recipients > Destination.
  2. Correct the email address or mobile number if the format is not accepted.
  3. Use the contact-picker icon if you want to select a saved recipient from Contacts.

An expected configuration or advanced option is not available

Problem: A field or option described in this guide does not appear in your EviNotice form.

Cause: The option may depend on tenant configuration, enabled services, territory, or user role.

Solution:

  1. Confirm whether the feature is enabled for your tenant or role.
  2. Check whether the selected configuration or advanced option is supported in your environment.
  3. Contact your administrator or sales contact if you need the option enabled.

The EviNotice cannot be submitted

Problem: The form does not let you complete the submission.

Cause: One or more required fields may be missing, invalid, or blocked by a validation error.

Solution:

  1. Confirm that the recipient data is complete.
  2. Confirm that the sender, subject, and content are valid.
  3. Review the configuration, reminder, custody, and attachment settings.
  4. Check the form for validation messages and correct the reported issue.

No QERDS profiles appear in the profile selector

Problem: You selected a QERDS certification level but the QERDS profile field is empty or unavailable.

Cause: Your site has no QERDS profiles configured. A profile must be set up at the site level before QERDS notices can be submitted.

Solution:

  1. Contact your administrator to add a QERDS profile to your site.
  2. If you need to send the notice urgently, select a non-QERDS certification level.

The QERDS notice cannot be submitted when enrollment is enabled

Problem: You enabled Allow enrollment but the form returns a validation error.

Cause: Allow enrollment requires a QERDS profile to be selected.

Solution:

  1. Select a QERDS profile in the profile field.
  2. If no profiles are available, contact your administrator.
